> Automating HR processes: applicant tracking, onboarding, shift planning, time tracking, AI in recruiting and what works councils and GDPR say.

- [Applicant Tracking System for Small Business: What to Buy](https://personaloptimierer.de/en/recruiting/applicant-tracking-system-small-business/): For a small business, an applicant tracking system should collect every application in one place, post jobs to several boards at once, send templated emails and delete old candidate data automatically. Pricing ranges from per-job plans around €17 a month to flat plans near $300 a month. Choose by how many roles are open at once.
- [AI in Recruitment: Where It Helps and Where It Bites](https://personaloptimierer.de/en/recruiting/ai-in-recruitment/): AI in recruitment works best on text and logistics: drafting job ads, answering candidate questions, scheduling interviews and summarising CVs. Once a tool scores, ranks or rejects people, legal exposure jumps. NYC requires bias audits, GDPR Article 22 restricts fully automated rejections, and the EU AI Act treats screening tools as high-risk from December 2027.
- [How to Write a Job Ad: Structure, Bias Traps, Pay Ranges](https://personaloptimierer.de/en/recruiting/how-to-write-a-job-ad/): Write a job ad in this order: a searchable job title, location and working pattern, three to six concrete tasks, genuine must-have requirements, the pay range and benefits, and a simple way to apply. Leave out wording tied to age, sex, ethnicity, religion or disability. Several US states and the EU require pay information up front.
- [Candidate Rejection Email: Templates That Hold Up Legally](https://personaloptimierer.de/en/recruiting/candidate-rejection-email/): A good candidate rejection email is short, arrives promptly and gives no reason linked to age, sex, race, religion, disability or family situation. Thank the person, say clearly that you are not moving forward and explain how long you keep their data. After an interview, a short call first is fairer and lowers the risk of a dispute.
- [Employee Onboarding Checklist: Before Day One to Day 90](https://personaloptimierer.de/en/hr-processes/employee-onboarding-checklist/): An employee onboarding checklist sorts tasks by date: before the start (contract, equipment, accounts, right-to-work checks), on day one (written terms, safety induction, welcome), in week one (role plan, remaining paperwork such as US Form I-9 Section 2) and through the first 90 days (check-ins and a probation decision). Legal deadlines belong in the list, not in someone's memory.
- [HR Process Automation: What to Automate First, and Why](https://personaloptimierer.de/en/hr-processes/hr-process-automation/): HR process automation works best on tasks that happen often, follow fixed rules and need little judgement: leave requests, onboarding tasks, employment letters, expense claims. Map and simplify the process before choosing a tool. Limits come from signature rules in some countries, GDPR restrictions on fully automated decisions and, in Germany, the works council's right to co-determine.
- [How to Make a Staff Rota: Rules, Cover, Spreadsheet or App](https://personaloptimierer.de/en/hr-processes/how-to-make-a-staff-rota/): To make a staff rota, work out cover needed per hour, collect availability and requests, choose a repeating shift pattern, fill it in, check it against working time rules and publish it early. In the UK that means 11 hours' rest between shifts, a 20-minute break for shifts over six hours and a weekly rest day.
- [Digital Employee Records: Structure, Retention, Access](https://personaloptimierer.de/en/hr-processes/digital-employee-records/): Digital employee records replace the paper personnel file with a structured, access-controlled store inside your HR system. Keep only what the employment relationship needs, give every document type a retention period based on the law that requires it, and limit access by role. Periods run from one year for some US hiring records to eight years for German payroll vouchers.
- [Time Tracking Law in Germany: What Employers Must Do in 2026](https://personaloptimierer.de/en/law-and-works-councils/time-tracking-law-germany/): Yes, employers in Germany must record their employees' working hours. The Federal Labour Court ruled in September 2022 (1 ABR 22/21) that the duty already exists under occupational safety law, regardless of company size. No format is prescribed yet. As of October 2026, a Labour Ministry working draft would make same-day electronic recording the norm. It is not law yet.
- [Works Council IT Systems in Germany: Approval Before Rollout](https://personaloptimierer.de/en/law-and-works-councils/works-council-it-systems/): In Germany, a works council must agree before you introduce almost any IT system, because the test is whether the software is objectively capable of monitoring employees' behaviour or performance, not whether you intend to use it that way (section 87(1) no. 6 BetrVG). Without agreement, the system cannot go live; an arbitration board decides if talks fail.
- [Candidate Data Retention Under GDPR: How Long Is Too Long?](https://personaloptimierer.de/en/law-and-works-councils/candidate-data-retention-gdpr/): GDPR sets no fixed retention period for candidate data. Keep applications only as long as you need them to make the hiring decision and defend against discrimination claims. In the UK and Germany that usually means about six months after rejection. Keeping CVs for future roles needs consent. US employers must keep application records for at least one year.
- [EU AI Act and Recruitment: High-Risk Rules from Dec 2027](https://personaloptimierer.de/en/law-and-works-councils/eu-ai-act-recruitment/): The EU AI Act classes AI used for hiring, promotion, termination, task allocation and performance monitoring as high-risk. After the Digital Omnibus delay, obligations for employers using such systems apply from 2 December 2027: human oversight, log retention, and informing staff and their representatives. Emotion recognition at work has been banned since February 2025.
